The Procurement Department is the primary contact for vendors, contractors and service providers doing business with the City of Germantown. The goal is to seek out qualified businesses that can provide the City with the supplies, equipment and services at competitive prices.
The Department’s mission is to provide services by adding value and improvement in support of the City of Germantown in the areas of procurement, assets and risk. The Department strives to become an acknowledged leader among service providers, recognized for innovative, high quality and cost effective approaches to meeting and exceeding customer expectations.
The Procurement Department’s direction focuses on communication, training, processes and transparency. City Purchasing Ordinance and Tennessee Statutes are used for the process of soliciting quotes, sealed bids or requests for proposals to ensure a fair and non-preferential system for making procurement decisions.
Through the process of soliciting quotes, sealed bids or requests for proposals, the division ensures a fair and non-preferential system for making purchasing decisions. While price is certainly an important factor in the decision process, relevant information about service demands, delivery needs, brand specification, past performance and references is also considered. Procurement decisions are often based on a variety of factors that serve the best interests of the City of Germantown.
All vendors doing business with the City will need to complete a Vendor Application and W-9 . Completed forms may be faxed to (901) 757-7258, emailed to procurement@Germantown-TN.gov or mailed to: City of Germantown Procurement Director, 1930 S. Germantown Road, Germantown, TN 38138.
All vendors doing business with the City must also comply with the TN Iran Divestment Act and Bidder’s Certificate and will be required to use the City’s standard terms and conditions for purchases unless a separate contract is utilized.
Vendors are encouraged to sign up to receive Bid/RFP opportunity notices. These are sent as Bids/RFPs are issued. Vendors can also choose to receive additional information from the City specific to your interests and subscribers can opt out at any time.
In an effort to ensure all vendors are able to view current bid/RFP information, the Procurement Department uses this website to advertise any items over $10,000. Official bid notices are posted on the City's website on the Bid/RFP Opportunities page on the issuance date. For information about a specific bid or proposal, contact Lisa Piefer at LPiefer@Germantown-TN.gov or (901) 757-7260.
